This Privacy Policy describes how Zaaz Technology Inc. (“Zaaz”, “we”, “us”, or “our”) collects, uses, and protects information obtained through the ZaazCRM Gmail Sync integration (“the App”) when you connect your Google or Gmail account to ZaazCRM.

1. Google API Limited Use Disclosure

ZaazCRM’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only use Gmail data to provide and improve the email sync feature within ZaazCRM.
  • We do not use Gmail data for advertising or to serve ads.
  • We do not allow humans to read your Gmail data unless you have explicitly given permission, it is necessary for security purposes, or it is required by law.
  • We do not transfer, sell, or use Gmail data for any purpose unrelated to the CRM email sync functionality.

2. Data We Access from Gmail

When you connect your Gmail account, the App requests access to:

  • Email messages — subject lines, body content, sender/recipient addresses, and timestamps of emails associated with CRM contacts
  • Email labels and metadata — read/unread status and label names, used to keep the CRM view in sync with your inbox
  • Send capability — the ability to compose and send emails from within ZaazCRM on your behalf

We do not access Google Drive, Google Contacts, Calendar, or any other Google service through this integration.

3. How We Use This Data

Gmail data is used exclusively to:

  • Display incoming and outgoing email threads on CRM contact and deal timelines
  • Enable CRM users to reply to or compose emails within the ZaazCRM interface
  • Log email activity against the relevant CRM records for your organization

4. Data Storage and Security

Email content synced through the App is stored on ZaazCRM’s servers hosted in Canada. We implement industry-standard security measures including encryption in transit (TLS) and at rest. OAuth tokens are stored in encrypted form and are never exposed in plain text.

5. Data Retention

Synced email data is retained for as long as your CRM account is active and the Gmail connection is enabled. When you disconnect your Gmail account, new syncing stops immediately. You may request deletion of previously synced email data by contacting us at privacy@zaaztech.com.

6. Sharing with Third Parties

We do not sell, rent, or share Gmail data with third parties. Data may be disclosed only:

  • To sub-processors (e.g., cloud hosting providers) operating under confidentiality obligations and solely to provide the service
  • If required by applicable law or a valid legal process

ZaazCRM is a business tool intended for adults. We do not knowingly collect personal data from anyone under the age of 16.

We may update this policy from time to time. We will notify connected users by email and update the “Last updated” date above. Continued use of the Gmail Sync feature after the effective date of changes constitutes acceptance of the updated policy.
